This page explains how DriverPass manages the personal information it holds: who is responsible, who can see what, how long we keep it, and how to make a request or a complaint. It completes our Privacy Policy. ગોપનીયતા નીતિ.


1. Who is responsible

Mr. Voss is the person in charge of the protection of personal information at DriverPass. He makes sure these rules are followed, approves privacy decisions, answers requests and complaints, and handles confidentiality incidents. Contact: hello@driverpass.com.


2. Who can see what

  • Drivers and other users see their own information.
  • A fleet sees the drivers and staff on its own roster, and only the documents and records connected to its company. When a driver leaves a fleet, documents the fleet owns stop being shown to the driver, and the fleet no longer sees the driver's new records.
  • Shippers and brokers see trip information (location, status and proof of delivery) only for loads they are part of.
  • Partners such as insurance brokers see only what a fleet chooses to share, and only for as long as the fleet allows.
  • DriverPass staff open personal information only when they need it to give support, keep the service running or meet a legal obligation. Their access depends on their role, and signing in to a user's account to help them is recorded.

3. How long we keep information

We keep personal information while an account is active. After an account is closed, we keep it only for the periods below, then delete it or make it anonymous:

  • Trip location points (GPS): 1 year
  • Messages, support conversations and Miles conversations: 2 years
  • Documents (licences, abstracts, certificates and signed forms): 3 years
  • Invoices and payment records: 6 years, as tax law requires
  • Records of confidentiality incidents: 5 years after we became aware of the incident

When you ask us to delete your account, we delete your profile and sign-in within 30 days. Records we must keep by law, or that belong to a fleet you worked for, follow the periods above.


4. Requests and complaints

You can ask to see your information, get a copy, correct it, delete it or withdraw a consent. You can download a copy yourself at any time from your profile, under Settings, then Your data. For anything else, email hello@driverpass.com.

We confirm who you are before we act, we answer within 30 days, and requests are free. If you are not satisfied with our answer, you can contact the Commission d'accès à l'information du Québec (cai.gouv.qc.ca).


5. Confidentiality incidents

If personal information is accessed, used, shared or lost without authorization, we act quickly to reduce the risk, record the incident in our register and assess whether it could cause serious injury. If it could, we notify the Commission d'accès à l'information and the people affected.


6. Staff and service providers

Everyone at DriverPass who can access personal information must keep it confidential and follow these rules. Service providers may use personal information only to provide their service to us. Before personal information is sent outside Quebec, we assess the privacy risks and put a written agreement in place to protect it.


7. Automated processing and AI

Software, including AI, sorts and flags information, for example to read a document or flag one that is expiring. A person reviews what is flagged before any decision about you. You can ask which information was used and ask a person to review a result.


8. Reviewing these rules

We review this page at least once a year and whenever our services change in a way that affects personal information.
