Give a staff member access to driver documents and safety tools

Turn on Safety/Compliance Access on the employee's record so they can open Drivers, driver documents and safety tools. Payroll & HR access is a separate switch for payroll.

Let a staff member see driver documents

  1. Sign in as the fleet owner. In the sidebar, open Employee Management > Employees.
  2. Find the person and tap the pencil icon (Edit employee).
  3. Open the Employment tab.
  4. Turn on Safety/Compliance Access.
  5. Optional: turn on Can Delete Driver Documents if they should also delete files from driver profiles.
  6. Tap Save. On their next page load they see a Safety Tools section in the sidebar, starting with Safety Calendar, Drivers and Document Review. Driver documents are on each driver's profile, Compliance tab.

What each setting gives

No extra access: Dashboard, HR, My Profile, My Time Off, Trainings & Resources, My Surveys, Document Bank, and My Timesheet if you require timesheets.

Safety/Compliance Access adds a Safety Tools section (Safety Calendar, Drivers, Document Review, Control Panel, Forms, Driver Messages, Partners & Compliance, Job Board, Training Center, Awaiting My Signature) and an Equipment section (Power Units, Trailers, Service history, Issued equipment). It does not include managing employees, time-off approvals for the fleet, Driver Contracts templates or billing.

Maintenance staff (fleet owner only) gives equipment pages only: the unit lists, uploading and scanning documents, PM sheets, Service history work orders, and the Issued equipment list read only (no usage limits or card emails). They enter line prices but never see totals or the Cost report. No driver, safety or HR tools.

Payroll & HR access (fleet owner only) gives a Payroll & HR section with Time clock & payroll and Timesheets: shifts, pay periods, payroll files, contractor invoices and pay history, never their own pay. See the guide on Payroll & HR access.

Document Bank is separate

Office files in Document Bank are not driver documents. Every employee sees Company files. Department files need a matching Department on their employee record or a custom group. HR files are for the fleet owner only. Do not make private files Company just to fix access.

What you can open depends on your role and your fleet’s settings. A guide never gives access to another person’s documents.

FAQs

For Employers & Carriers

DriverPass is a driver verification and compliance management platform built to help carriers streamline hiring, onboarding, and fleet compliance, all in one place.
We save you time and money by automating driver onboarding, licence & document tracking, and compliance monitoring, so you can focus on moving freight.
Any fleet size, from 5 to 500+ drivers. We work with local, regional, and long-haul fleets, including carriers in the U.S. and Canada.
Yes. You can add dispatchers, HR, compliance officers, or managers, each with customized permissions.

For Drivers

DriverPass lets you manage all your documents, certifications, and records in one spot. Stay organized and job-ready at all times.
No. DriverPass is free for drivers.
Your profile and the documents you upload are saved in your DriverPass account, not only on your phone. Sign in from any phone or computer to see them. If you can't sign in, tap Forgot password? on the sign-in page. If you lose a paper document, upload a photo of the replacement when you have it.
Yes. You'll get automatic alerts when documents are about to expire and can upload renewals directly from your phone.

For Shippers

Not as a report. Shippers use Secure Trip in DriverPass to follow their own loads. For a carrier's compliance documents, ask the carrier directly.

Compliance & Safety

We track license classes, medical cards, background checks, training completion, and more. You'll get alerts before anything expires.
DriverPass helps you keep the records. It stores driver files such as licences with their expiry dates, shows what is missing or expired, and sends reminders before a licence or document expires. Your fleet is still responsible for meeting DOT, FMCSA and provincial rules, and DriverPass does not give legal advice.
No problem. DriverPass lets you assign different compliance checklists by driver type so nothing falls through the cracks.
