Use Payroll & Org Chart and the Settings Board

See estimated staff and driver costs by department, an org chart and a payroll table, and set up the dropdown values and employee codes used on employee profiles.

What Payroll & Org Chart shows

Payroll & Org Chart is an estimate of what your people cost, built from the pay saved on each profile. It includes office employees, staff and drivers on your roster. It does not pay anyone and does not use time clock shifts. For hours actually worked, use Time clock & payroll.

People whose approved time off covering today is Unpaid, or has no return date, are not counted in the totals. A note at the top lists who is left out, and they count again once the leave ends.

  1. In the sidebar, open Employee Management > Payroll & Org Chart.
  2. The cards at the top show Daily Cost, Weekly Cost, Bi-Weekly Cost, Monthly Cost, Annual Cost and Total Staff, with Base Salaries, commission and bonus totals for this year.
  3. Use the tabs: Departments (cost per department), Org Chart (who reports to whom), Subdivisions (cost per entity) and Detailed View (one row per person).
  4. In Detailed View, use Active Only, All or Terminated Only and the Department filter. Terminated Only shows former employees, staff and drivers: accounts turned off and drivers you set as inactive. They are listed for reference only and are never counted in the cost cards or totals. The table can be copied, saved as Excel or PDF, or printed.

How the numbers are worked out

Costs come from the Compensation tab on each employee profile: Salary Amount and Salary Type. Hourly pay is multiplied by the hours in the Weekly Work Schedule on the Operations tab, or by 40 hours a week if no schedule is saved. Commission and bonus amounts entered for this year are added.

The org chart uses the Manager chosen on the Employment tab. Department and subdivision come from the same profile.

If a number looks wrong, fix the pay, schedule or department on the person's profile: for an employee, open Employees and click Edit employee.

Set up the Settings Board

The Settings Board holds ready-made values that appear as dropdowns when you add or edit an employee.

  1. Open Employee Management > Settings Board.
  2. Under Company Employee Code Settings, enter your Employee Code Prefix (letters and numbers, up to 10) and click Save. Codes look like PREFIX-1001.
  3. To renumber everyone, click Apply to All Existing Employees. This overwrites every employee code in directory order, so only do it on purpose.
  4. Under Departments, Work Locations, Subdivisions / Entities and Work Schedule Templates, click Add, enter the value and click Save. Use the red bin to remove one.

Good to know

Only the fleet owner account sees these pages.

Work Locations on the Settings Board are names for the employee profile only. They do not control where people can clock in. Clock-in locations are set in Time clock & payroll.

Drivers on your roster are included, using the pay saved on their profile. For pay from hours actually clocked, use Time clock & payroll.

Your profile and the documents you upload are saved in your DriverPass account, not only on your phone. Sign in from any phone or computer to see them. If you can't sign in, tap Forgot password? on the sign-in page. If you lose a paper document, upload a photo of the replacement when you have it.
Yes. You'll get automatic alerts when documents are about to expire and can upload renewals directly from your phone.

For Shippers

Not as a report. Shippers use Secure Trip in DriverPass to follow their own loads. For a carrier's compliance documents, ask the carrier directly.

Compliance & Safety

We track license classes, medical cards, background checks, training completion, and more. You'll get alerts before anything expires.
DriverPass helps you keep the records. It stores driver files such as licences with their expiry dates, shows what is missing or expired, and sends reminders before a licence or document expires. Your fleet is still responsible for meeting DOT, FMCSA and provincial rules, and DriverPass does not give legal advice.
No problem. DriverPass lets you assign different compliance checklists by driver type so nothing falls through the cracks.
