Change a pay rate and read the pay history

Every change to a driver's or employee's pay is saved with the date it takes effect and a reason. Read the Pay history and add a correction without losing the original.

Change a driver's hourly rate

  1. Open Driver Management > Drivers and open the driver.
  2. Click Edit on the Licence & employment card, change the Hourly Rate ($) and click Save Changes.
  3. A Pay change box opens. Pick the Effective date: shifts on and after this date are paid at the new rate. For a raise that started last week, pick last week's date. It can be in the past, or up to 2 years ahead.
  4. Pick a Reason: Annual raise, Promotion, New hire, Contract change, Correction or Other. For Correction and Other, a Note is required.
  5. Click Save change. The change is added to Pay history.
  6. Changing the driver type or the Inc / corporation name asks for the same date and reason.

Change an office employee's pay

  1. Open Employee Management > Employees, click Edit employee and open the Compensation tab.
  2. Change the Salary Type, Salary Amount or Hourly Rate ($) and save.
  3. Fill in the Pay change box the same way: Effective date, Reason and, when needed, a Note, then click Save change.

Pay a fixed amount instead of hourly

Pay basis can be Hourly (the default), Fixed per pay period or Fixed per day worked, with a Fixed amount ($). Hours are still tracked.

Fixed per pay period pays the amount when the person has at least one shift in the period; with no shifts they get nothing and show No shifts: no fixed pay. Fixed per day pays the amount for each day with a shift. The pay is shared across companies and shifts by hours, and shifts show fixed instead of a rate. There is no overtime on a fixed amount.

The pay basis on the last day of the pay period is used for the whole period. If it changed during the period, the person shows Basis changed in period.

  1. Driver: click Edit on the Licence & employment card and set Pay basis and Fixed amount ($). Employee: Edit employee, Compensation tab. You can also set it on the Pay & tax card in the side panel.
  2. Save, then give the Effective date and Reason in the Pay change box.

Read the pay history

Pay history is on the Payroll tab of the driver's or employee's profile, and in the side panel when you click a name on the Payroll tab of Time clock & payroll.

Each row shows the Effective date, What changed, From, To, Reason, Note, Changed by and Changed on. It covers the hourly rate, salary, salary type, driver type, the contractor tax setup (including the Inc / corporation name) and Dayforce numbers.

The first row for a person who already had a rate is Starting rate (before history began), with Before history began as its date. Drivers added after pay history started get a New hire row on their hire date.

Payroll uses the rate in effect on each shift's date. A backdated change also changes shifts that are not in an approved pay period yet. For an approved period, reopen it and approve it again.

Correct a change

Entries are never edited or deleted. A mistake is fixed with a new Correction entry, and the original stays in the history.

  1. In Pay history, click Correct a change on the row.
  2. Enter the correct value and the Effective date, and a Note that explains the correction.
  3. Click Save correction. The person's current pay is updated to match the history.
  4. If you see That is already the value on that date. Nothing to correct., the value you entered is already in effect on that date.

Who can change pay

Only the fleet owner and office staff with Payroll & HR access see pay history and can change pay rates. Drivers and employees never see pay history.

Staff with Safety/Compliance Access but no Payroll & HR access can still edit the rest of a driver's profile, including the driver type, but the Hourly Rate ($) is read only for them and shows Only payroll can change pay.

Payroll staff cannot change their own pay: they see You cannot change your own pay. Ask the fleet owner. Only the fleet owner can correct a driver type entry.

FAQ
