Who can see files in the fleet Document Bank?

Document Bank files are seen by Company, Department or HR audience. Driver files are separate.

Who can open Document Bank

The fleet owner and every fleet employee see Document Bank in the sidebar. Drivers do not. Driver documents live on each driver's profile, which is a different place.

What each audience means

Company: everyone in your fleet's office. HR: the fleet owner only. Department: the fleet owner plus employees in one of the chosen groups. Only the fleet owner can pick Company or HR.

An employee matches a Department file through the Department on their employee record or through a custom group they belong to. Older files marked Personal are visible to the uploader and the fleet owner. Files linked to a customer or carrier are visible to the fleet owner only.

Before sharing

  1. In Upload document, go to Who can see this? and pick the narrowest audience that fits.
  2. For Department, tick each group under Share with and check the count.
  3. After saving, check the file's audience in the list.
  4. If a colleague cannot see it, check their Department or group membership instead of switching a private file to Company.

Not as a report. Shippers use Secure Trip in DriverPass to follow their own loads. For a carrier's compliance documents, ask the carrier directly.

We track license classes, medical cards, background checks, training completion, and more. You'll get alerts before anything expires.
DriverPass helps you keep the records. It stores driver files such as licences with their expiry dates, shows what is missing or expired, and sends reminders before a licence or document expires. Your fleet is still responsible for meeting DOT, FMCSA and provincial rules, and DriverPass does not give legal advice.
