Read the Cost Analysis page and track supplier contracts

See monthly payroll cost by department from the salaries on your people's profiles, and keep a list of supplier contracts with their monthly cost and end date.

How the numbers are worked out

Cost Analysis (Employee Management > Cost Analysis) adds up each active person's current salary and groups it by department. It counts active office employees and active drivers.

A yearly salary is divided by 12. An hourly rate is multiplied by 2080 hours (40 hours a week for 52 weeks) and divided by 12. People with no salary on their profile count as $0. Each person counts fully in their own department.

These are estimates from profile data, not your real payroll. Fuel, repairs and other running costs are not included unless you add them as supplier contracts.

Only the fleet owner can open this page.

People whose approved time off covering today is Unpaid, or has no return date, are not counted in the totals. A note at the top lists who is left out, and they count again once the leave ends.

Read the page

  1. Open Employee Management > Cost Analysis. The top shows Total Monthly Payroll, Monthly payroll + contracts (payroll plus your active supplier contracts), Active Employees and Divisions.
  2. Check the charts Cost Distribution by Division and Employee Count by Division.
  3. Under Filters, pick a department to show only that row in the Division Cost Breakdown. Click Reset to show all. The table shows Division, Code, Employees, Monthly Payroll and % of Total Payroll.
  4. Click a department row to open its breakdown. It lists each person, their salary, the calculation and the Allocated cost counted for that department.
  5. Click Export Excel or Export PDF to download the report. The downloads use the same payroll wording as the page, such as Total Monthly Payroll and Monthly Payroll.

Track supplier contracts

  1. Under Supplier Contracts & Commitments, click Add Contract.
  2. Enter the Supplier Name, Category, Monthly Cost ($), Start Date, End Date and Status. Attach the Contract PDF and Notes if you like.
  3. Click Save Contract. The cards show Monthly Commitments, Active Contracts and Expiring Soon (60 days).
  4. Use the edit icon to change a contract, or the bin icon and Remove to hide it from your list.

If a number looks wrong

Fix the salary, salary type or department on the person's profile. The page always uses what is saved there today. If someone is missing from a department, check that their department is filled in and that they are active.

Yes. You'll get automatic alerts when documents are about to expire and can upload renewals directly from your phone.

For Shippers

Not as a report. Shippers use Secure Trip in DriverPass to follow their own loads. For a carrier's compliance documents, ask the carrier directly.

Compliance & Safety

We track license classes, medical cards, background checks, training completion, and more. You'll get alerts before anything expires.
DriverPass helps you keep the records. It stores driver files such as licences with their expiry dates, shows what is missing or expired, and sends reminders before a licence or document expires. Your fleet is still responsible for meeting DOT, FMCSA and provincial rules, and DriverPass does not give legal advice.
No problem. DriverPass lets you assign different compliance checklists by driver type so nothing falls through the cracks.
