Give truck seals to drivers and track every seal number
Use Seals to record the seals you receive, give exact seal numbers to one or many drivers, answer driver requests, and see the status of every seal.
Who can use Seals
The fleet owner and fleet staff with safety access can open Seals. The owner finds it in the sidebar under Driver Management > Seals. Staff with safety access find Seals under Safety Tools.
Give seals to drivers
Open the Give seals tab. The numbers at the top show seals On hand, With drivers, Used, and Drivers running low.
- Under 1. Who gets seals?, tick each driver who should get seals. Use Search drivers to find someone, or click Select drivers running low to tick everyone at or below your running low number, including drivers with no seals at all. Each driver shows how many seals they hold now.
- Under 2. Seal numbers, set How many seals each? (1 to 50). One box appears for each seal, for every driver you ticked.
- Type one seal number in each box. Press Enter to jump to the next box, which also works with a barcode scanner.
- To fill many boxes at once, paste a range such as 1000344-1000353 into the first box. The numbers spread across the boxes after it.
- If you have recorded seals on hand, click Fill from seals on hand to fill the empty boxes with your next seals in number order.
- Check the summary line at the bottom. A number typed twice turns red and must be fixed. Empty boxes are skipped.
- Click Give seals. You land on the Drivers tab, each driver gets a notification with their seal numbers, and any open request from that driver is closed.
Answer requests and see who holds what
Drivers can ask for more seals from their phone. The Requests tab shows a red count when requests are waiting.
- On the Requests tab, each request shows the driver, how many seals they asked for, how many they hold now and their note.
- Click Issue to open Give seals with that driver and quantity already picked, then type or fill the numbers and click Give seals. Click Dismiss to close a request without giving seals.
- The Drivers tab lists every active driver, lowest count first, with Seals held and Last issued. Drivers at or below your running low number are marked low. A driver with 0 seals counts as running low. Click Seals to see that driver's seal numbers, or Issue to give them more.
Find a seal and change its status
- Open the All seals tab. Search by Seal number or load, or filter by status (On hand, With driver, Used, Lost, Void) and by driver, then click Search.
- Each row shows the Seal #, Status, Driver, Issued date and Used on date with the load the driver entered.
- To fix a seal, open the Change… list on its row and pick Used, Lost, Void or Back to on hand. Back to on hand clears the driver and dates so the seal can be given out again.
- When you pick Used, a box asks for Load, trip or trailer (optional). Type the reference, or leave it blank, and click OK. Click Cancel to leave the seal as it was.
Seals on hand and settings
Recording the seals you receive is optional. It lets the Give seals screen fill numbers in for you.
- Open the Seals on hand & settings tab.
- Under Add seals you received, type the box or bag you got as a range (for example A1001-A1500) or a list, then click Add seals on hand. Numbers already recorded are skipped.
- Under Settings, set A driver is running low at to the number of seals that should trigger a warning (default 3), then click Save. Drivers at or below this number, including drivers with no seals, are flagged for you everywhere: the Drivers running low count, the Drivers tab and Select drivers running low. Those drivers also see a reminder to ask for more.
Export and good to know
Click Seal log (CSV) at the top of the page to download the seal log. On the All seals tab, the file follows the search, status and driver filters on screen. On every other tab it has every seal. Each row has the seal number, its status (On hand, With driver, Used, Lost or Void), driver, issued date, used or closed date, load or trip, and note. It opens in Excel or Google Sheets.
DriverPass will not give out a number that is already with a driver, used, lost or void. If that happens, the page shows which numbers are the problem and keeps what you typed.
The Truck Seals quantity on each driver's Equipment tab updates on its own to match the seals they hold.
A range can have up to 3,000 seals, and you can give up to 3,000 seals at a time.
