Go from application to hire: full application, offer and hiring documents

Review an application, check the hiring documents, ask for the complete application, send an offer with pay and start date, or hire directly.

Review the application

  1. In the sidebar, open Job Board > Applications. Use Search applicants or the status filter to find the driver.
  2. Each row shows the status and how many hiring documents are on file, for example Docs 2/3.
  3. Click View to open the application and read each tab.
  4. Click Shortlist to move a driver forward. Reject is in the More actions menu, and the driver is told they were not selected.

Check the hiring documents

The hiring packet is three documents the driver uploads: Driver's License, Abstract and Medical Card. On the application page, the sidebar shows Documents (number) of 3, with On file or Missing next to each one. Click View to open a document.

Ask for the complete application

  1. On the application page, click Request complete application, then Continue. On the Applications list, the same action is Request complete application in the More actions menu for shortlisted, offered or accepted drivers.
  2. The driver gets an email with a link and can also finish it from their My Applications page. The emailed link works for 30 days.
  3. While you wait, the page says Complete application requested, awaiting submission. If the link expired, click Send a new link if the old one expired.
  4. When it arrives, the page says Complete application received. Click View PDF or Download for a copy.

Send an offer

Sending an offer also releases any reference check that was waiting on the driver's current employer.

  1. On the Applications list, click Send offer on a shortlisted driver. On the application page, you can instead pick Accept (Send Offer) under Change status.
  2. Fill in the offer terms if you want: Pay (per hour, per mile, per year, % of load or flat), Start date, and Type (Employee (payroll), Contractor or Owner-operator). All fields are optional. The driver sees them above the Accept button.
  3. Click Send offer. The status becomes Offered and the driver is notified in DriverPass and by email.
  4. The driver accepts or declines. When they accept, the status shows Accepted and they join your roster as Pre-employment. Activate them from the Drivers page when they are ready.

Hire directly with Hire now

Hire now adds the driver to your roster right away and skips the offer step. It is off by default: your DriverPass contact turns it on for your fleet.

It does not work if the driver is currently hired by another company, or if the application was rejected or declined.

  1. On the Applications list, open the More actions menu on the driver's row and click Hire now.
  2. Click Yes, Hire Now. The driver is notified that you hired them.

Good to know

Once a driver has accepted your offer, you cannot reject the application or send another offer.

New fleet accounts can open Applications after DriverPass approves the account.

The account owner and staff with safety access can do everything in this guide.

FAQs

For Employers & Carriers

DriverPass is a driver verification and compliance management platform built to help carriers streamline hiring, onboarding, and fleet compliance, all in one place.
We save you time and money by automating driver onboarding, licence & document tracking, and compliance monitoring, so you can focus on moving freight.
Any fleet size, from 5 to 500+ drivers. We work with local, regional, and long-haul fleets, including carriers in the U.S. and Canada.
Yes. You can add dispatchers, HR, compliance officers, or managers, each with customized permissions.

For Drivers

No. DriverPass is free for drivers.
Your profile and the documents you upload are saved in your DriverPass account, not only on your phone. Sign in from any phone or computer to see them. If you can't sign in, tap Forgot password? on the sign-in page. If you lose a paper document, upload a photo of the replacement when you have it.
Yes. You'll get automatic alerts when documents are about to expire and can upload renewals directly from your phone.

For Shippers

Not as a report. Shippers use Secure Trip in DriverPass to follow their own loads. For a carrier's compliance documents, ask the carrier directly.

Compliance & Safety

We track license classes, medical cards, background checks, training completion, and more. You'll get alerts before anything expires.
DriverPass helps you keep the records. It stores driver files such as licences with their expiry dates, shows what is missing or expired, and sends reminders before a licence or document expires. Your fleet is still responsible for meeting DOT, FMCSA and provincial rules, and DriverPass does not give legal advice.
No problem. DriverPass lets you assign different compliance checklists by driver type so nothing falls through the cracks.
