Add and update trucks, trailers and company vehicles

Keep each unit's number, plate, VIN, ownership and status correct in the right equipment list.

Add a unit

  1. In the sidebar, open Equipment, then Power Units, Trailers or Company Vehicles.
  2. Click Add power unit (Add Trailer or Add Vehicle on the other lists).
  3. Fill in the required fields: for a power unit that is Truck Number, Plate Number and Province/State. Add the VIN, type, make, model and year.
  4. Set Status (Active, Maintenance or Inactive) and Ownership Type (Company or Owner-Operator). For Owner-Operator, choose the Owner.
  5. Click Add Power Unit (or Add Trailer, Add Vehicle). Search the list by number, plate or VIN to check it.

Change a unit

Status is your own record. Uploading a service or inspection file does not make a unit safe for the road. Your safety staff decide that. To log maintenance or a repair, click the wrench on the unit: it opens a new work order in Service history.

  1. Find the unit in its list and click the Edit (pencil) button.
  2. Change what you need, then click Update Power Unit (Update Trailer or Update Vehicle).

Who can change units

Fleet owners and staff with safety access can add, edit and delete units. Staff with maintenance access only can log work orders in Service history (the wrench on a unit) but do not see Add, Edit or Delete. If a button is missing, ask the fleet owner to check your access. Never share a login.

FAQs

For Employers & Carriers

DriverPass is a driver verification and compliance management platform built to help carriers streamline hiring, onboarding, and fleet compliance, all in one place.
We save you time and money by automating driver onboarding, licence & document tracking, and compliance monitoring, so you can focus on moving freight.
Any fleet size, from 5 to 500+ drivers. We work with local, regional, and long-haul fleets, including carriers in the U.S. and Canada.
Yes. You can add dispatchers, HR, compliance officers, or managers, each with customized permissions.

For Drivers

DriverPass lets you manage all your documents, certifications, and records in one spot. Stay organized and job-ready at all times.
No. DriverPass is free for drivers.
Your profile and the documents you upload are saved in your DriverPass account, not only on your phone. Sign in from any phone or computer to see them. If you can't sign in, tap Forgot password? on the sign-in page. If you lose a paper document, upload a photo of the replacement when you have it.
Yes. You'll get automatic alerts when documents are about to expire and can upload renewals directly from your phone.

For Shippers

Not as a report. Shippers use Secure Trip in DriverPass to follow their own loads. For a carrier's compliance documents, ask the carrier directly.

Compliance & Safety

We track license classes, medical cards, background checks, training completion, and more. You'll get alerts before anything expires.
DriverPass helps you keep the records. It stores driver files such as licences with their expiry dates, shows what is missing or expired, and sends reminders before a licence or document expires. Your fleet is still responsible for meeting DOT, FMCSA and provincial rules, and DriverPass does not give legal advice.
No problem. DriverPass lets you assign different compliance checklists by driver type so nothing falls through the cracks.
