Scan equipment documents (pilot)

If your fleet has document scanning, check what DriverPass read before you save it.

Is it on for you?

Equipment document scanning is a pilot. It is only switched on for some fleets. If you don't see Scan document on Power Units, Trailers or Company Vehicles, it is not on for your fleet. Editing units and Service history work either way. Ask DriverPass support if you would like to try it.

Scan a document

  1. In the sidebar, open Equipment, then the list for the unit. Click Scan document at the top, on the unit, or in its Docs window.
  2. Under What kind of document is this?, pick Auto, Registration, Inspection or Work order.
  3. Click Add photos or a PDF. Use one to five photos, or one PDF. Then click Read document. Reading can take up to a minute.
  4. Check every field, especially any marked Check this. Choose the right unit. For Next service, pick From the document, Suggested, Calculated or Enter manually.
  5. Click Confirm and save. Or click Save for later (it goes to Waiting for review) or Discard.

What a scan cannot do

Scanning can misread a date, a total or the unit. Always compare the result with the paper. A saved scan is a record, not proof the vehicle is safe, and it never changes the unit's status. A confirmed work order or invoice is saved in Service history, marked From a scanned document. Service history also has a Scan invoice button when the pilot is on.

Yes. You'll get automatic alerts when documents are about to expire and can upload renewals directly from your phone.

For Shippers

Not as a report. Shippers use Secure Trip in DriverPass to follow their own loads. For a carrier's compliance documents, ask the carrier directly.

Compliance & Safety

We track license classes, medical cards, background checks, training completion, and more. You'll get alerts before anything expires.
DriverPass helps you keep the records. It stores driver files such as licences with their expiry dates, shows what is missing or expired, and sends reminders before a licence or document expires. Your fleet is still responsible for meeting DOT, FMCSA and provincial rules, and DriverPass does not give legal advice.
No problem. DriverPass lets you assign different compliance checklists by driver type so nothing falls through the cracks.
