Record maintenance and the next service date

Log each service as a work order in Service history, with its cost, invoice and next due date.

Record a service

  1. In the sidebar, open Equipment, then Power Units, Trailers or Company Vehicles.
  2. On the unit, click the wrench. Service history opens a new work order for that unit.
  3. Pick the Maintenance type and Status, who did the work, the dates and odometer, then the lines or the invoice total. Enter the Next service date. Click Add files for the receipt, invoice or inspection report.
  4. Click Save work order.

Check the record

Every work order is listed in Service history, newest first. Click Service history on the unit card to see only that unit. Older maintenance updates were copied in and are marked Copied from the old maintenance log.

If a save shows an error, refresh Service history and check the list before you try again, so you don't log the same service twice.

Who decides a unit is ready

An Open or In progress work order puts the unit in Maintenance. Marking it Done puts the unit back to Active when no other work order is open. A done work order shows work was done. It is not proof the unit is safe, and your safety staff can still change Status with Edit on the unit. Staff with maintenance access only can add work orders but cannot add, edit or delete units, and never see totals.

FAQs

For Employers & Carriers

DriverPass is a driver verification and compliance management platform built to help carriers streamline hiring, onboarding, and fleet compliance, all in one place.
We save you time and money by automating driver onboarding, licence & document tracking, and compliance monitoring, so you can focus on moving freight.
Any fleet size, from 5 to 500+ drivers. We work with local, regional, and long-haul fleets, including carriers in the U.S. and Canada.
Yes. You can add dispatchers, HR, compliance officers, or managers, each with customized permissions.

For Drivers

DriverPass lets you manage all your documents, certifications, and records in one spot. Stay organized and job-ready at all times.
No. DriverPass is free for drivers.
Your profile and the documents you upload are saved in your DriverPass account, not only on your phone. Sign in from any phone or computer to see them. If you can't sign in, tap Forgot password? on the sign-in page. If you lose a paper document, upload a photo of the replacement when you have it.
Yes. You'll get automatic alerts when documents are about to expire and can upload renewals directly from your phone.

For Shippers

Not as a report. Shippers use Secure Trip in DriverPass to follow their own loads. For a carrier's compliance documents, ask the carrier directly.

Compliance & Safety

We track license classes, medical cards, background checks, training completion, and more. You'll get alerts before anything expires.
DriverPass helps you keep the records. It stores driver files such as licences with their expiry dates, shows what is missing or expired, and sends reminders before a licence or document expires. Your fleet is still responsible for meeting DOT, FMCSA and provincial rules, and DriverPass does not give legal advice.
No problem. DriverPass lets you assign different compliance checklists by driver type so nothing falls through the cracks.
