Set a driver inactive or end their employment
Use Set Inactive for leave or a pause, and Terminated or Quit when the driver leaves your fleet. Drivers keep their DriverPass account either way.
Pause a driver (on leave or other)
- On Driver Management > Drivers, open the driver's three-dot menu and tap Set Inactive.
- Pick On Leave or Other.
- The driver moves to your Inactive tab and stays linked to your fleet. They no longer count as an active driver in your dashboard, lists and reminders, and you can't assign them new training or forms.
- The driver can still sign in to DriverPass and keeps all their documents. They get a short notice in DriverPass and on their phone.
- To bring them back, open the menu again and tap Set Active.
End a driver's employment
You need to be the fleet owner or a staff member with safety access.
- Open the driver's three-dot menu on Drivers, tap Set Inactive, then pick Terminated or Quit.
- In Process Separation choose the Type, enter Terminated On, and add the reason, paid-till date, notice, returned materials and ROE details that apply. You can upload the notice and the ROE copy.
- Tap Process Separation.
What happens after a separation
The driver leaves your roster and becomes a free agent. Another fleet can hire them, and the separation record stays on your Inactive tab.
They keep their DriverPass account, their own documents (licence, abstract, medical) and the training certificates they earned.
Your fleet's records stop showing for them: PSP report, road test, drug test results, contracts, policies, your forms and unfinished courses you assigned. Anything they had not signed yet is cancelled. Nothing is deleted, and you keep your copies.
They get a short notice that their work with your fleet ended. There is no undo button: to bring them back, hire them again.
There is no Delete button for drivers. Use Set Inactive or end the employment instead.
