Read employee leave balances correctly

Allocated, accrued, used, pending and left are different numbers. Here is how each one is worked out.

What each number means

Allocated is the yearly allowance on the employee's policy. Accrued is the part earned so far. Used counts approved requests. Pending counts requests still waiting for a decision.

Left is accrued minus used minus pending. A pending request lowers Left right away, before anyone approves it. A request counts toward the policy year it starts in.

Vacation requests come out of the vacation (annual) balance, and sick, personal and unpaid come out of their own balances. Bereavement, jury duty and other time off are not taken from any balance.

Check one employee's balance

  1. In the sidebar, open Employee Management, then Employees.
  2. Find the person and click View profile.
  3. Read the Balances table for this year. It shows Left, Accrued, Used and Pending for Vacation, Sick, Personal and Unpaid.
  4. Compare it with the requests on Time-Off Requests (Employee Management, then Time-Off Requests). For everyone at once, open Vacation Report.

Fix a balance

Your company's leave policy decides what people are entitled to. These numbers are a record, not a payroll or legal decision. Employees see their own allocated, accrued, used, pending and days left on My Time Off.

  1. On Time-Off Requests, click Admin tools.
  2. Open the Adjust balance tab and choose the employee. The Current Balance box shows Total Allocated, Used, Pending and Available.
  3. Choose Add Days or Subtract Days, enter the number of days and a reason, then click Apply balance adjustment.

Compliance & Safety

We track license classes, medical cards, background checks, training completion, and more. You'll get alerts before anything expires.
DriverPass helps you keep the records. It stores driver files such as licences with their expiry dates, shows what is missing or expired, and sends reminders before a licence or document expires. Your fleet is still responsible for meeting DOT, FMCSA and provincial rules, and DriverPass does not give legal advice.
No problem. DriverPass lets you assign different compliance checklists by driver type so nothing falls through the cracks.
